You must be logged in to edit projects.

The ProjectLens Project Editor is a website plugin that lets you create and manage structured project pages. Each project is made up of Segments (the content blocks that appear on the page) and Settings (metadata like dates, budget, and contact details). Everything is edited in one place and saved with a single click.

1. Select a Project

When the editor loads, you will see a project selector dropdown at the top of the page. Click it and choose the project you want to edit.

The editor area will appear automatically once a project is loaded. If no projects appear in the dropdown, contact your administrator — you may need to have a project created for you first.

The Editor Layout

The editor has two tabs:

  • Segments — where you build and organise the content of your project page
  • Settings — where you fill in project metadata (dates, budget, location, etc.)

Click either tab to switch between them. A Save Changes button sits at the bottom of the editor and saves both tabs at once.

Segments are the building blocks of your project page. Each segment is a self-contained content block with a specific purpose.

Segment Header Controls

Every segment has a header bar with the following controls:

Reordering Segments Click and hold the handle on the left of any segment header, then drag it up or down to change its order. Release to drop it in the new position.

There are six segment types. Each has its own fields.

1. Descriptive

Use this for narrative text content — summaries, context, objectives, etc.

  • Sub-title — an optional secondary heading within the segment
  • Summary Content — a shorter overview (displayed with a rich-text editor)
  • Detail Content — a longer, more detailed version (also rich-text)

Both content fields support bold, italic, lists, links, and other standard formatting via the built-in editor toolbar.

2. Media

Use this for image galleries or video embeds.

Each slide in the segment has:

  • Media type selector — choose between Image, Embedded Video, or External Video URL
  • Pick image / Pick media button — opens the Media Library to choose a file
  • Video URL field — visible only when “External Video URL” is selected; paste the video link here
  • Caption — optional text shown beneath the image or video

To add a new slide, click Add Slide at the bottom of the segment. To remove a slide, click the button on that slide row. Slides can be reordered by dragging.

3. Metadata

Use this to display a list of key–value facts (e.g. “Sector: Health”, “Region: South Asia”).

Each field row has:

  • Label — the name of the fact (e.g. “Sector”)
  • Value — the corresponding data

Click Add Field to add a new row. Remove a row with its delete button. Rows can be reordered by dragging.

4. Team

Use this to list team members or contacts associated with the project.

Each member entry has:

  • Name
  • Role / Title
  • Email
  • Photo — chosen from the Media Library

Click Add Member to add a new entry. Remove with the delete button. Members can be reordered by dragging.

5. Timeline

Use this to display project milestones or key events in chronological order.

Each milestone has:

  • Date
  • Title — a short name for the milestone
  • Description — additional detail about what the milestone represents

Click Add Milestone to add a new entry. Remove with the delete button. Milestones can be reordered by dragging.

6. Documents

Use this to attach downloadable files (PDFs, Word documents, spreadsheets, etc.).

Each file entry has:

  • File — chosen from the Media Library
  • Display name — the label shown to visitors when they click to download

Click Add File to add a new entry. Remove with the delete button. Files can be reordered by dragging.

At the bottom of the Segments tab, administrators will see an Add Segment bar:

  1. Use the dropdown to select the type of segment you want to add.
  2. Click + Add Segment.

The new segment will appear at the bottom of the list and can immediately be edited and reordered.

Whenever you need to attach an image, video, or document to a segment, clicking a Pick media or Pick image button opens the Media Library modal.

Library tab

  • Browse your uploaded files in a grid view.
  • Use the search bar to filter by filename or title.
  • Use the type filter dropdown to show only Images, Documents, or Videos.
  • Click a file to select it (a tick ✓ appears). Click Use this media to confirm.
  • If there are many files, click Load more to see additional pages.
  • To permanently delete a file, hover over it and click the 🗑 icon. You will be asked to confirm — this cannot be undone.

Upload tab

  • Click the upload zone to browse your computer, or drag and drop files directly onto it.
  • Accepted formats: images, PDF, Word documents (.doc, .docx), Excel files (.xls, .xlsx).
  • Multiple files can be uploaded at once.
  • A progress bar shows the upload status. Once complete, switch back to the Library tab to select your newly uploaded file.

To close the modal without selecting anything, click Cancel, click the in the top-right corner, or press the Escape key.

The Settings tab contains project metadata organised into three sections.

When you have finished making changes, click the Save Changes button at the bottom of the editor. A spinner will appear while the save is in progress.

  • A green success notice at the top of the editor confirms the save was successful.
  • A red error notice means something went wrong — check your internet connection and try again.

Notices disappear automatically after a few seconds.Important: Navigating away from the page or selecting a different project before saving will discard any unsaved changes. Always save before switching projects.

If you cannot see a control described in this guide, it is likely restricted to administrators on your site.

Use the collapse button to fold up segments you are not actively editing — it keeps the page manageable when a project has many segments.

The Visible toggle lets you prepare a segment in advance and hide it until it is ready, without having to delete and recreate it.

Changes to the project title at the very top of the editor will update the page title when saved.

If a rich-text editor (TinyMCE) does not appear in a Descriptive segment, try collapsing and re-expanding that segment, or refresh the page.
